## The short version

These five emails cover a brand conversation from the first message to the follow-up after delivery. Copy one, replace everything in [square brackets], and send it from your own inbox.

Start with “Replying to a first enquiry”. It’s the email you’ll send most, and a quick, clear reply is often what wins the job. When the brand asks what you charge, use “Sending your rates”.

All five templates are free with your creator profile. The first template is open to everyone on this page, so you can try it before you join.

## When to use each template

**The five templates**

| Template | Use it when | Length |
| --- | --- | --- |
| Replying to a first enquiry | A brand emails or messages you for the first time | About 90 words |
| Sending your rates | The brand asks what you charge | About 100 words |
| Asking for a full brief | The brand has said yes in principle, but you don’t have the details to film | About 110 words |
| Negotiating budget or usage | The offer is below your rate, or the brand wants more usage than the budget covers | About 80 words |
| Following up after delivery | A week or two after you deliver, or when an invoice is late | About 70 words |

_Lengths are for the template text before you fill it in._

## Replying to a first enquiry

Use this when a brand contacts you for the first time. It thanks them, says you’re interested, and asks the three things you need before you can quote: what they want, where it will run and when they need it.

**Template 1: replying to a first enquiry**
```text
Subject: Re: [their subject line]
Hi [first name],
Thanks for reaching out. I’d love to hear more about [product].
To send you an accurate quote, could you tell me:
- How many videos you need, and roughly how long each should be
- Where the videos will run (organic posts, paid ads or both) and for how long
- Your timeline for filming and delivery
You can see my recent work here: [portfolio link]. I can usually deliver within [turnaround] of receiving the product.
Best,
[your name]
[your UGCStars profile link]
```

### How to fill it in

- [their subject line]: reply in the same thread, so the brand sees the whole conversation.
- [first name]: the person who wrote to you, not the brand.
- [product]: the product they mentioned, in their words.
- [portfolio link]: your UGCStars profile, or a page with your three strongest samples.
- [turnaround]: the number of days you can reliably deliver in, such as “7 days”. Promise a little less than you think you can do.
- [your name] and [your UGCStars profile link]: your sign-off. Brands often forward emails to colleagues, and the link goes with it.

- [Simple UGC agreement](https://ugcstars.com/creator-hub/agreement): A plain-English agreement in six parts: the job, deliverables and deadlines, revisions, usage rights, payment and cancellation, and disclosure and signatures.
- [Handling feedback and revisions](https://ugcstars.com/creator-hub/revisions): How many revision rounds to include, how to tell a revision from a reshoot or a new request, how to push back politely, and how to turn one job into repeat work.
- [What brands actually buy as UGC](https://ugcstars.com/creator-hub/what-brands-buy): The difference between UGC and influencer posts, six formats you’ll see in briefs, and what makes a video usable in ads.
